Fixing workflow email links

Workflow emails are automatically sent to the relevant participants to notify them of assigned workflow tasks. This email also contains a workflow link that takes the participant to the form.

If the workflow link resolves in an error, it can indicate that it was already actioned or that the link was incorrect when setting up the email.

This can happen if text is copied from one workflow Email Body field and pasted into another workflow email body. Doing this breaks the preconfigured `_workflow_step`2 variable that automatically points to the relevant workflow step.

Page not found error

To fix the link:

  1. Open your form in edit mode.

  2. Go to Form Settings  Workflows.

  3. Click the blue Workflow link button in the affected email body. A dialog box will appear showing the link configuration:

  4. If the Insert Link field does not show _workflow_step, click the Unlink button.

  5. Highlight the Workflow link text in the email body.

  6. Click the Workflow Link button above the text box.

    This resets the workflow step variable so the email link will work as expected.
