Form login protection

While it usually is not necessary, you may wish to protect certain forms with a password or sign-in to ensure they cannot be viewed or filled in by anyone except those intended.

You can restrict access to your form in one of these ways:

  • A Username and Password combination.

  • Single Sign On (Enterprise only).

To enable a form password:

  1. Navigate to Form Builder  Form Settings  Security.

  2. Select Lock your form with a username and password if you wish to use a username and password. Enter a username and password for this form. These do not need to be your Advanced Forms credentials.

This username and password does NOT give the holder access to your Advanced Forms dashboard or any form responses/data. It only allows them to view and fill out your form when they visit the live form URL.

If you are on an Enterprise plan and wish to restrict form access to those within your organization using Single Sign On, you can use the Lock your form with third party Single Sign-on option.

Other

Disable login protection for file uploads

To make the URL for uploaded files publicly accessible:

  1. Navigate to Form settings  Security  Other.

  2. Select the Disable login protection for file uploads option.

Disabling this will allow anyone who has the URL of your file to access it without logging in. It may be useful for sharing purposes. Although the URL of the uploaded file is generated to be very difficult to guess, we recommend leaving this setting on for additional security and protection of your users data.

Internal user permissions

The multi-user functionality was built for organizations or businesses with multiple people logging in to the Advanced Forms dashboard and making changes to forms, using and editing information, and utilizing all aspects of an account. We refer to these users as sub-users of the main organization account.

Sub-users are great for organizations with multiple business units creating forms and accessing information but do not necessarily want everyone to have the same permissions on all forms.

Sub-users can create and edit their forms or be given access to forms created by other sub-users or the primary organization user.

Access can be limited to view only to allow them only to view form information or view and edit to allow them full access to forms and responses.

Access can be granted on a form-by-form basis, with multiple different forms in your account.

If you have multiple staff members within your team that require different levels of access to one or more forms or response information, please contact us to discuss setting this up for you.

To set internal user permissions:

  1. Click on the drop down menu which will list the users in registered in your Advanced Forms instance.

  2. Select the name of a user to whom you want to grant access.

  3. Select the appropriate radio button to grant the selected user View or View and edit permissions.
